TMC Survey: What Tool(s) Does your Group Use To Maintain Your Membership Database?

What's a user group without members? Not much of a user group. Whether you charge dues or don't, publish a newsletter on paper or online or just need to keep track of who gets a raffle ticket, maintaining your membership database is an essential activity.
It seems that there's no real standard out there. Some groups use the expected tools while others have simple home-grown solutions. Even more interesting were the groups who have adapted tools we would never have thought of to the task.

- AUSMUG initially registers members for free via a PHP web based form into a MySQL database (encrypted passwords). From the backend interface Access Control Lists are managed eg public, registered, author, editor, manager and admins for our web site by Super Admin (me). Info on paid memberships(extra features) is stored on a seperate Filemaker Server Advanced 7 based system for access by local FM clients. Info also used in word , excel, accounting etc. We are soon to set up a number of web based applications I am designing using Lasso to integrate with this system. Lasso can communicate with Filemaker and MySQL plus with plug-in and xml support we should be able to intergrate it fully into the rest of our system. Both front and backend applications are being developed to provide secure management control for what members can and cannot access.
- We use our MUG's dotmac account address book to keep track of current members. Since the club is at a school, once the member graduates, they pretty much stop attending meetings. We do keep past members on the mailing list if they would like to continue to recieve our email newsletters.
- Mysql-database at ISP. Coding done in PHP by group members with access for all members
- online db - tied in w/ members only web areas. Admin area allows for management & print of membership list, email to members, etc.

- Appleworks DB for Membership list and Newsletter mailing, Excel Spreadsheet for Meeting Check In.
- MySQL on our web server. It's great allows us to have lots of web features that are members only.

- As the leading FileMaker Pro Group, we have built a database to both manage the membership, events, giveaways, vendors etc as well as power our website at http://www.fmpug.com
- Two FM databases - one for financial data and one for member info. We are working on a FMP 7 version to combine the two.
- using Filemaker 5.5
- Membership Coordinator uses Filemaker to track Dues/addresses. The newsletter editor just uses Addressbook Group for email address.
- Started to convert to AddressBook to eliminate duplication of emails but didn't get far.
- The database is nothing special. The thing we do is use MaxProg's MaxBulk Mailer to automatically send out our newsletter and alert members when their membership is coming due. It saves time
